# Due diligence report (DDR)

> A due diligence report (DDR) is a practitioner's term for the evidence file that supports an EUDR due diligence statement: plot geolocations, deforestation and legality analysis, supply-chain information and mitigation measures. The EUDR requires this evidence but does not define a DDR format.

Also known as: DDR, due diligence file, evidence pack

## Why does it matter?

A [due diligence statement](/glossary/due-diligence-statement/) is short: a declaration, product data and geolocations. Competent authorities checking an operator will ask for what sits behind it. The [EUDR](/glossary/eudr/) requires operators to keep all due diligence documentation for at least five years (Article 12) and to be able to show how the information gathered was checked against the risk criteria (Article 10(4)).

In first-mile supply chains, the evidence is produced upstream by cooperatives, exporters or national programmes. A DDR is how that evidence travels to the operator in a structured, reviewable form.

## What does a typical DDR contain?

- Product, quantity, country of production and date or time range of production.
- The list of plots with [geolocation](/glossary/geolocation/) and a check of geometry quality.
- Deforestation analysis against a [forest baseline](/glossary/forest-baseline/) and post-2020 [satellite alerts](/glossary/satellite-alerts/).
- Legality information for the country of production.
- The [risk assessment](/glossary/risk-assessment/) conclusion and any [mitigation](/glossary/risk-mitigation/) taken.
- Supplier and customer details and an [audit trail](/glossary/audit-trail/) of changes.

## Common pitfalls

- Reports produced once and never refreshed, while the regulation requires risk assessments to be reviewed at least annually.
- Evidence that cannot be linked back to the exact lots or plots declared.
- Static PDFs that cannot be re-checked when new alerts appear.

Farmer1st produces audit-ready evidence alongside each statement as part of its [EUDR compliance](/services/eudr-compliance/) service.

## Frequently asked questions

### Is a due diligence report mandatory under the EUDR?

The term itself is not in the regulation. What is mandatory is the underlying documentation: operators must collect and keep the information in Article 9, document their risk assessment and mitigation (Articles 10 and 11) and keep due diligence records for at least five years.

### Who prepares a due diligence report?

Often an exporter, cooperative or national system prepares it for the buyer that will submit the due diligence statement, so the operator can rely on documented evidence from origin.
