Privacy notice
How we handle personal data collected through farmer1st.org.
This notice explains how Farmer1st handles personal data collected through this website (farmer1st.org). It does not cover data flows inside the Farmer1st platform itself — those are governed by the data-processing agreements signed with each client and by the consents and authorisations set by the parties involved (farmers, cooperatives, companies, NGOs, governments).
Who is responsible for your data?
The controller is Farmer1st Pte. Ltd., a company incorporated in Singapore. For any question about this notice or your data, write to [email protected].
What do we collect?
We collect only what is needed to run the site and respond to you:
- Scoping assistant conversations. When you use the scoping assistant, we record the messages you exchange with it and the structured brief it generates from them (for example your organisation type, role, country, commodities, origins, current tools, needs and contact details you choose to give). Conversations and briefs are stored only if you tick the consent box before sending.
- Contact form messages. Your name, email address, organisation if you give it, and the content of your message.
- Emails you send us at [email protected].
- Basic technical logs generated by our hosting provider — request metadata such as IP address, user agent, referrer and timestamp — used for security and debugging.
- Aggregated audience statistics from privacy-friendly, cookieless analytics, which count page views without identifying you or following you across sites.
We do not use advertising trackers, third-party marketing cookies or cross-site cookies on this website.
How do we use it?
- To understand your need, prepare a first sketch of your service and respond to you.
- To follow up on your request and, if you wish, continue the business relationship.
- To keep the website secure, available and free of abuse, including automated abuse of the assistant and forms.
- To understand, in aggregate, which pages are useful and improve the site.
We do not sell or rent personal data collected through this website, and we do not use your conversations to profile you for advertising.
How does the scoping assistant process your data?
The scoping assistant is powered by an AI model provided by a third-party AI model provider, acting as our processor. Your messages are sent to that provider to generate the assistant’s replies and the brief, under terms that restrict its use of the data to providing the service to us. The assistant only uses the public content of this website to answer; it does not have access to other clients’ data.
The assistant gives general information and helps structure your need. It does not make commitments on behalf of Farmer1st — see the terms of use.
What is the legal basis?
- Scoping assistant conversations and briefs: your consent, given by ticking the consent box before sending. You can withdraw it at any time; this does not affect processing already carried out.
- Contact form and emails: your request — steps taken before a possible contract — and our legitimate interest in responding.
- Technical logs, bot protection and analytics: our legitimate interest in keeping the service secure, operational and useful.
How long do we keep it?
- Scoping assistant conversations and briefs: up to 24 months after your last interaction with us, unless a business relationship follows, in which case they are kept for as long as needed for it.
- Contact messages and emails: as long as needed to follow up and maintain our business relationship; typically deleted within 24 months of the last interaction if no engagement follows.
- Technical logs: typically 30 to 90 days, as set by our hosting provider.
- Analytics: aggregated statistics that do not identify you.
Who processes it?
Access to your conversations, briefs and messages is limited to the Farmer1st team members who need it to respond to you. We use the following categories of service providers, each acting on our instructions:
- Hosting and delivery: the website, forms and assistant are hosted on Cloudflare, Inc.
- Bot protection: Cloudflare Turnstile checks that requests to the assistant and forms come from a person, without advertising cookies.
- Analytics: Cloudflare Web Analytics, a cookieless, privacy-friendly analytics service.
- AI model provider: processes assistant conversations to generate replies and briefs, as described above.
- Internal notification tools: used to alert our team when a new brief or message arrives.
Some of these providers may process data outside your country, including outside the EU or EEA. Where this happens, we rely on appropriate safeguards such as contractual commitments.
What are your rights?
Depending on where you live, you may have the right to access, correct, delete or receive a copy of the personal data we hold about you, to object to or restrict certain processing, and to withdraw your consent at any time. To exercise these rights, write to [email protected]. We will answer within the time required by the law that applies to you.
If you are in the EU or EEA, you may also lodge a complaint with your local data-protection supervisory authority. In Singapore, you may contact the Personal Data Protection Commission.
