Module 01 / Compliance

EUDR compliance: due diligence reports, DDS and EU TRACES submission

From plot polygons to a submitted DDS: EUDR due diligence built on verified first-mile data, sent directly to EU TRACES.

In short

Farmer1st produces EUDR due diligence from the first mile. We collect and verify plot geolocation, assess deforestation against the 31 December 2020 cut-off, document legality and risk, then generate due diligence reports (DDR) and due diligence statements (DDS) submitted directly to EU TRACES, the EUDR Information System.

What it does

EUDR compliance

Audit-ready geolocation

Plot points and polygons collected in the field, validated for geometry errors and linked to the farmer who declared them.

Deforestation assessed up to today

Multi-source assessment of every plot against the 31 December 2020 cut-off and EU-recognised forest baselines, with your calculation method applied.

Due diligence reports (DDR)

A documented file per supplier, lot or shipment: information collected, risk assessed, mitigation recorded. Ready for an auditor or a competent authority.

TRACES-ready DDS

Due diligence statements generated from the same data and submitted directly to EU TRACES, with reference numbers stored against each shipment.

Plot-level risk signals

Each plot carries its own status, so a single problematic plot is isolated instead of blocking a whole cooperative.

How it works

How it works

  1. 01

    Map your supply base

We import your existing farmer and plot lists from any tool or spreadsheet, and field agents fill the gaps offline.

  2. 02

    Verify every plot

Geometries are validated, then assessed for deforestation and protected areas using the method your risk policy requires.

  3. 03

    Assess and mitigate risk

Legality, country risk and plot-level signals are combined into a documented risk assessment, with mitigation steps tracked.

  4. 04

    Report and submit

We generate the due diligence report and the DDS, submit it to EU TRACES and keep the reference number linked to the shipment.

What you get

What you get
  • TRACES-ready DDS for each shipment
  • Audit-ready due diligence files
  • Plot-level deforestation evidence
  • Fewer rejected polygons and re-collections
  • One record reused by every buyer the farmer consents to

What does EUDR compliance actually involve?

The EU Deforestation Regulation (Regulation (EU) 2023/1115) asks companies that place cocoa, coffee, rubber, palm oil and other relevant commodities on the EU market to prove three things: the product is deforestation-free, it was produced in line with the laws of the country of production, and it is covered by a due diligence statement.

In practice, due diligence has three steps:

  1. Collect information, including the geolocation of every plot of land where the commodity was produced.
  2. Assess the risk that the product is linked to deforestation after 31 December 2020 or to illegal production.
  3. Mitigate the risk until it is negligible, and document what was done.

Only then can the operator submit a DDS to EU TRACES, the EUDR Information System. For the full regulatory picture, see our EUDR guide.

Why is the first mile the hard part?

The regulation looks simple on paper. The difficulty sits with the smallholders who grow the crop. Plot data is often missing, recorded by hand, or collected several times by different buyers with different results. Polygons fail validation. Farmers sell through intermediaries who cannot say which plot a bag came from.

Farmer1st is the first-mile infrastructure built around farmers: a farmer-controlled network where companies, governments and organisations collect, verify and share origin data, and build the services they need on top of it. EUDR compliance is one of the modules on that network.

How does Farmer1st produce the due diligence?

We start from the farmer and the plot, and work up to the shipment.

  • Farmer and plot registry. Existing lists are imported through data integration. Missing farmers and plots are collected by field teams working offline, managed through field agent management.
  • Geolocation you can defend. Our geo and polygons service validates every polygon and point: self-intersections, overlaps between neighbours, implausible areas, and points used where a polygon is required.
  • Deforestation and protected areas. Each plot is assessed against the cut-off date using multiple sources and EU-recognised forest baselines, up to today. You choose the calculation method: ours, a public reference method such as Whisp from FAO, or a model that follows your own risk policy.
  • Chain of custody. Plots are linked to lots and shipments through our traceability module, so each DDS lists the right plots and nothing else.

What do you receive at the end?

For each shipment, lot or supplier, depending on how you organise your due diligence:

OutputWhat it contains
Due diligence report (DDR)Information collected, risk assessment, mitigation measures, evidence per plot
Due diligence statement (DDS)The formal statement with geolocation data, submitted to EU TRACES
Reference numbersStored against the shipment and the plots, ready to pass downstream
Plot-level statusCompliant, needs mitigation or excluded, with the reason recorded

Everything stays versioned. When a plot is corrected or re-assessed, the previous version is kept, so you can show what you knew at the time you submitted.

How do you handle plots that fail the checks?

A failing plot is a signal to act on. Farmer1st isolates it at plot level, so one problem does not block a whole cooperative. The plot is flagged, the reason is recorded, and a field mission can be sent to re-walk the boundary or verify the situation on the ground. The outcome, whether a corrected polygon, a documented explanation or an exclusion, becomes part of the due diligence file.

Does this fit with the tools we already use?

Yes. We complement the ecosystem rather than replace it. Farmer1st connects to the field tools, ERPs and compliance platforms you already run. Some companies use us as the first-mile data layer that feeds verified plots into their compliance system; others ask us to produce and submit the DDS end to end.

What if our case is not covered yet?

Modules switch on as you need them. If your supply chain calls for something specific, such as a particular risk model, an extra legality check or a reporting format for a customer, we prototype it with you in the Nursery and refine it until it fits the way you work.

FAQ

Frequently asked questions

What does the EUDR require from a company placing cocoa, coffee, rubber or palm oil on the EU market?

Regulation (EU) 2023/1115 requires operators to exercise due diligence showing that relevant products are deforestation-free, produced legally, and covered by a due diligence statement. That means collecting the geolocation of every plot of production, assessing and mitigating risk, and submitting a DDS to the EU Information System before placing the product on the market or exporting it.

What is the difference between a due diligence report (DDR) and a due diligence statement (DDS)?

The DDS is the formal statement submitted to the EU Information System, carrying the operator's declaration and the geolocation data. The due diligence report is the supporting file behind it: the information collected, the risk assessment and the mitigation measures. Farmer1st produces both from the same verified data.

Can you submit due diligence statements to EU TRACES for us?

Yes. We integrate directly with EU TRACES, the EUDR Information System, to submit DDS and retrieve their reference numbers. The reference numbers stay linked to the shipment and the plots behind it, so you can pass them downstream or show them during a check.

Do all plots need a polygon?

Under the regulation, plots of more than 4 hectares must be described with a polygon; plots below that size may be described with a single geolocation point. Many companies choose to collect polygons for smaller plots as well, because a polygon gives a stronger basis for the deforestation assessment.

We already use a compliance platform. Do we have to replace it?

No. Farmer1st plugs into the field tools, ERPs and compliance platforms you already use. We can act as the first-mile data layer that feeds verified plots and risk results into your existing system, or produce the DDS ourselves if that is what you need.
